Privacy Policy

Shop Owner is built for shop owners and their attendants to track stock, record sales, reconcile cash at the end of a shift, and ask an assistant questions about their shop. This page explains what information the app collects, why, and what you can do about it.

We collect only what the app needs to do that job. We don't sell your data, and we don't run ads.

How you sign in. A code is sent to verify it's really you

Username and password (optional)

A faster way to sign in. The password is stored only as a one-way scrambled value, never in a readable form

Name

Shown to your shop owner or attendants so they know who they're working with

Ghana Card number

Basic identity verification for anyone joining a shop as staff. We store the number only, never a photo of the card

Guarantor's name and phone number

Attendants provide a guarantor; the shop owner calls them directly before approving a new hire. We don't contact the guarantor ourselves

Profile photo (optional)

Shown in your account and to your shop owner. You choose whether to add one

Device location

Checked once when an attendant opens a shift, to confirm they're actually at the shop. Never tracked in the background or at any other time

Product photos (optional)

Owners can attach a photo to an inventory item. This is shop data, not personal data

Sales and inventory records

The core of what the app does: stock levels, prices, and a log of sales for reconciliation

Notes, PDF documents and voice recordings (optional)

Things you choose to teach the shop assistant, such as a price list or a spoken explanation. Recordings are turned into text on our servers; the original file is kept with your shop until you remove it

Assistant questions and answers (only if you turn it on)

Off by default. If you switch on "Help improve the assistant" in Settings, we save your questions, the answers, and any thumbs up or down, not linked to your name or phone number, to make the assistant better. Please avoid typing private details into questions

Subscription status

Payment is handled entirely by Google Play. We receive a purchase token and whether your subscription is active. We never see your card or Mobile Money details

Notification address

A technical identifier from your phone, used only to deliver alerts such as shift and low-stock notifications

We never request background location, contacts, or SMS access. The camera is used only when you choose to scan a barcode or take a photo. The microphone is used only while you have a recording open in "Teach the assistant", and never in the background.

Who we share it with

Google Firebase and Google Cloud host the app's database, authentication, file storage, notifications, and the servers described below. They process data on our behalf and don't use it for their own purposes.
Africa's Talking delivers the SMS text carrying your sign-in code. Your phone number is shared with them only to send that one message.
Google Play processes subscription payments. We receive only the subscription status.

Our own assistant servers. The shop assistant runs on servers we operate ourselves inside our own Google Cloud project. Your questions, notes, documents and recordings are not sent to any outside AI company or AI service.

We don't sell data to anyone, and we don't share it with advertisers or data brokers.

How long we keep it

Your profile stays until you delete your account. Sales records are kept once recorded, because a shop's sales history is a financial record, even if a staff member later leaves. If a staff member's access is revoked, their name stays on past sales and shifts for the owner's records, but they can no longer sign in or make new sales.

Notes, documents and recordings you teach the assistant stay until you remove them. Removing one deletes its text and its original file. Saved assistant questions and answers (only if you opted in) are kept to improve the assistant and can be stopped at any time by switching the option off.

Your choices

Access or correct your details from the app's Settings screen at any time.
Turn off notifications from Settings.
Stop sharing assistant conversations by switching off "Help improve the assistant" in Settings.
Remove anything you taught the assistant from "Teach the assistant" (the graduation cap icon in the assistant).

Deleting your account and data

You can delete your account yourself, inside the app:

Open the menu and go to Settings.
Scroll to Account and tap Delete account.
Confirm. Your profile, login and personal details are removed straight away.

If you can't use the app, email us at support@myshopowner.com from the phone number on your account and we'll delete it for you. Sales records tied to a shop stay with that shop's financial history, the way a paper receipt would, but are no longer linked to your name beyond what was already recorded. To have a whole shop's data removed, the shop owner should email us the same way.

Children

Shop Owner is a business tool, not directed at children, and we don't knowingly collect information from anyone under 18.

If this policy changes in a way that matters, we'll update the date at the top of this page.
